The General Data Protection Regulation (GDPR) requires organisations to be more transparent and accountable to individuals about how it manages and controls their data. This Privacy Notice, sets out how Teignbridge District Scouts manages your data, including who it shares data with and for what purpose it might be used.

We request your consent to Teignbridge District Scout Council retaining and processing your data for the purpose of administrating the activities within the District including the hiring and maintaining of the Burdett Building.

 

Why do we collect your personal information?

In order to administer the District’s activities, in accordance with the Scout’s Procedures, Operations and Regulations and/or the Burdett Building we request your consent to hold your personal data as detailed on the attached form.

If you choose not to formally provide consent, we will be obliged to remove your details from our systems, and will be unable to provide further communication that may be relevant to you or your company.

 

What information do we collect?

Typically, we collect your personal information such as full name, address and contact details. For suppliers we also hold details of bank accounts. We hold your personal details in order to administer the District’s activities and may use your personal information to contact you.

 

What will we do with your personal information?

We hold your personal data within a central password protected archive and will use the information to contact you to discuss District administration or Burdett building matters.

 

Who will we share your personal information with?

We will not share your information with any non-Scouting organisation unless required to by Law.

 

How long do we hold your data?

We will hold your data until you revoke consent for us to do so. Unless we explain otherwise to you, we’ll hold your personal information based on the following criteria:

  • For as long as we have reasonable needs, such as managing our relationship with you and managing the Burdett Building

  • Retention periods in line with legal and regulatory requirements or guidance.

Your Rights

You have the right to request access to your own data and personal information- this is known as a ‘Subject Access Request’. Additionally, you have the right to request:

  • That any inaccurate information that we hold about you is corrected/updated

  • That information about you is deleted in certain situations

  • That we stop using your personal information for certain purposes

  • That decisions about you are not made by wholly automated means

Many of the rights listed above are limited to certain defined circumstance, and we may not always be able to comply with your request. We will tell you if this is the case.

We will inform you if we intend to use your data for any other reason than that described above, or if we intend to disclose your information to any third party for any reason. You can exercise your right to prevent us from using your information by contacting us at gdpr@teignbridgescouts.co.uk

If you choose to make a request to us to exercise any of these rights, we will aim to respond to you as soon as possible, but not later than one month from the receipt of the request. An admin fee may be charged for more detailed requests.
